Kanban AI Coach Specialist in Kanban and flow management

🎯 Dedicated to Kanban: flow, WIP, metrics and continuous improvement.

Hi! I'm your Kanban coach. Tell me about your flow: the problem, your board stages, your WIP limits and any metric. We'll analyze it together, step by step.

How to get the most out of the conversation

The quality of the answer depends almost entirely on the quality of the description. Numbers beat adjectives.

  1. Describe the flow with numbers

How many stages the board has, how many items are in progress, how long an item usually takes and what blocks it most often. “It is slow” gives no diagnosis; “14 items in progress and a 22-day lead time” does.

  2. Answer the questions it asks back

The coach returns diagnostic questions before recommending anything. That is not stalling: the same growing queue can be a capacity bottleneck, a prioritization policy or an external dependency, and the answer differs in each case.

  3. Leave with an experiment

The conversation ends best when it turns into something testable: a policy change, a limit to try for two weeks, a metric to watch. Kanban is evolutionary improvement, so a small reversible change is worth more than a reorganization.

What it does, and what it does not

It does

  • Diagnose flow from what you describe: WIP, queues, blockers, lead time and throughput.
  • Explain Kanban Method concepts with their correct meaning, not with generic agile jargon.
  • Help design the board, explicit policies, classes of service and cadences.
  • Structure improvement experiments with a hypothesis, a metric to watch and a timebox.

It does not

  • It does not leave Kanban. Questions on other subjects are declined on purpose, and that is a design decision rather than a technical limit.
  • It does not see your data. It only knows what you type in the conversation, and has no access to your company board.
  • It does not replace a hard conversation with people. It deals with the work system, not with team conflict or career decisions.
  • It does not promise a number. Honest forecasting comes from your own data, and for that the path is the flow analyzer.

Questions that work well

These are the starting points offered inside the conversation. Adapt them with your own numbers.

  • My team has too many items in progress at once. What should I do?
  • How do I set good WIP limits for my team?
  • Which flow metrics should I track, and how do I read them?
  • What is the difference between lead time and cycle time, and when do I use each?
  • I want to improve my workflow design. How do I assess it?
  • I want to run a flow improvement experiment. Can you help me structure it?

Frequently asked questions

Do I need an account to talk to it?

Yes. The Kanban AI Coach is for members, and the account is free. It also unlocks the Kanban Game, the interactive experiences and the learning paths.

Why does it decline questions outside Kanban?

Because a specialist that answers everything is not a specialist. The narrow scope is what keeps the terminology correct and the advice consistent with the Kanban Method.

Does it have access to my board or my metrics?

No. The coach only knows what you write in the conversation. For analysis on real data, the path is the flow analyzer, which reads a CSV inside your own browser.

Is there a message limit?

There is a usage limit so the service stays available for everyone. When it is reached the coach says so on screen, and the conversation can continue later.

Does it speak English and Spanish?

It does. The coach replies in the language of the conversation, and the whole platform is available in Portuguese, English and Spanish.

Does it replace a human coach?

No. It is useful for diagnosing flow, reviewing board design and structuring experiments. Organizational change, conflict and negotiation still need people.

Rather practice before asking?

The interactive experiences show the effect of each concept in a few minutes, with nothing to describe.
